Privacy Policy of FlosysENG
Effective date: July 11, 2026
Preface
Welcome to FlosysENG (referred to as “we”, “us”, or “the Company”). This Privacy Policy explains how we collect, use, retain, share, and protect the personal data and usage metadata you provide when using our engineering calculation website and related services.
Our Core Privacy Principle – Data Ephemerality: FlosysENG is designed as a real-time calculation engine, not a cloud storage provider. We prioritize the security of your proprietary engineering designs by adhering to a strict “no persistent storage” policy for your specific calculation inputs, uploaded logic, and generated PDF reports.
By using the Service, you agree to the data practices described in this policy.
Scope of this Policy
This policy applies to the FlosysENG website, mobile interfaces, APIs, plugins or embedded calculation components, and related email, support interactions, and paid features (collectively, the “Service”). If you access the Service through a third-party payment processor or platform, they may have their own privacy policies which we encourage you to review.
Types of Data We Collect
1. User‑Provided Personal Data
- Account information: Name, email address, company name, job title, and phone number (if provided) used to manage your account.
- Billing information: Billing address and transaction details managed via our e-commerce platform (WooCommerce). FlosysENG does not store full credit card numbers; all payments are processed securely by our third‑party payment processors (e.g., PayPal).
- Support content: Messages, bug reports, and requests exchanged with our technical or support teams.
2. Engineering Data (Strictly Ephemeral – NOT Stored)
- Calculation Inputs & Reports: The specific engineering parameters you input (e.g., flow rates, temperature, pressure, pipe dimensions, gas matrices) and the resulting PDF/CSV reports are processed strictly in-memory (RAM) in real-time. They are never saved, logged, or backed up on our persistent servers. Once the calculation is complete and the report is streamed to your local device, the engineering data is immediately discarded.
3. Automatically Collected Technical & Usage Metadata
- Usage Metadata: To maintain our pre-paid credit system and monitor performance, we log the event of a calculation (e.g., which calculation module was run, calculation duration, error logs, and points deducted). We do not log the actual engineering values you inputted during that event.
- Technical data: IP address, device type, operating system, browser version, screen resolution, and language settings.
- Cookies and similar technologies: Session cookies, preference cookies, e-commerce/shopping cart cookies (via WooCommerce), analytics cookies, and functional cookies.
How We Use Your Data
We use the collected personal and metadata for the following purposes:
- To provide the Service: Manage your account authentication and perform real-time computational requests.
- For payment management: Process point purchases, maintain transaction records, and handle the 30-day billing dispute window as outlined in our Terms of Service.
- For customer support: Respond to account issues and technical inquiries.
- To improve the Service: Analyze usage metadata, test new features, and optimize system performance.
- For security: Detect abnormal behavior, prevent fraud, and protect our systems and user accounts.
- For compliance: Respond to lawful requests from authorities and retain records as required by law or tax rules.
- For marketing (with consent): Send product updates or promotional offers. You may unsubscribe or withdraw consent at any time.
Legal Basis (for EEA/European users)
If you are located in the European Economic Area (EEA), our legal bases for processing personal data include:
- Performance of a contract: Processing necessary to provide the Service and manage your account.
- Legitimate interests: Ensuring system security, preventing fraud, and analyzing basic metadata to improve software performance.
- Consent: For marketing communications and non-essential cookies. You may withdraw consent at any time.
Cookies and Tracking Technologies
We use cookies to maintain sessions, remember preferences, and enhance security. You can manage or disable cookies via your browser settings, but disabling them may affect certain features (e.g., automatic login). If the Service targets EU/UK users, we display a cookie consent banner and provide options to manage consent.
Third‑Party Services and Data Sharing
We do not sell your personal data. We may share necessary data with third parties strictly limited to:
- Payment processors (e.g., PayPal) to complete transactions.
- Cloud infrastructure providers (e.g., AWS, Google Cloud, Hostinger) to provide secure compute environments.
- Analytics and monitoring services (e.g., Google Analytics, Sentry) to analyze usage and errors.
- Email and communication services to send system notifications or marketing messages.
- Legal or regulatory authorities when required by law or to protect our rights.
We enter into data processing agreements with third parties and require appropriate security measures.
Data Retention Periods
We retain data only as long as necessary for the purposes described or as required by law:
- Engineering Inputs & Reports: 0 days. Discarded immediately after real-time processing.
- Account Data: Retained until account deletion or as required by law.
- Billing & Transaction Logs: Retained for up to 7 years (or as required by local tax rules) for accounting and dispute resolution.
- System and Error Logs: Typically retained 6–12 months for debugging and security analysis, then anonymized or deleted.
Data Security
We implement reasonable, industry‑standard technical and organizational measures to protect data, including:
- TLS/HTTPS encryption in transit.
- Access controls for servers and databases.
- Secure password hashing and storage.
- Regular security scans and patching.
- Principle of least privilege and logging/monitoring.
However, our ultimate security measure is Data Ephemerality. By intentionally refusing to store your proprietary engineering inputs, we eliminate the risk of your sensitive facility data being exposed. No online system is completely immune to risk. You are solely responsible for securely storing the PDF reports downloaded to your local device.
User Rights and Requests
Depending on your jurisdiction, you may have the right to:
- Access and obtain a copy of the personal data we hold about you.
- Correct inaccurate or incomplete personal data.
- Request deletion of your account and personal data.
- Request restriction of, or object to, data processing.
- Receive a portable copy of your account data.
To exercise these rights, contact us at admin@flosys.tech and provide sufficient information to verify your identity. (Note: Because we do not store your calculation histories or engineering reports, we cannot export or delete them for you.)
International Data Transfers
Our Service operates globally and may involve hosting or processing in regions outside your home country. When personal data is transferred across borders, we implement appropriate safeguards (such as Standard Contractual Clauses) to ensure your data remains protected.
Policy Changes
We may update this Privacy Policy from time to time. We will post the updated policy on this page and update the Effective Date. For material changes, we will provide more prominent notice. Continued use after changes indicates acceptance of the updated policy.
